Three common PTO accrual methods

Annual allowance

Enter the annual PTO allowance and pay frequency. The calculator divides the annual amount across the number of accrual periods.

PTO per period = annual PTO hours / accrual periods per year

Fixed amount per period

Use this when your policy directly says something like "4.62 PTO hours every biweekly pay period."

Per hour worked

Use this for policies that earn a fraction of PTO for every hour worked, such as 0.0577 PTO hours per work hour.

Caps, carryover, and used PTO

The starting balance can represent carryover or an existing bank. PTO used is subtracted from the projected balance. If a cap is entered, any balance above the cap is reported separately as lost to the cap.

Hours vs. days

PTO is often stored in hours but requested in days. The hours-per-workday setting converts the result without changing the underlying balance.
